Overview

We are recruiting an experienced, detail-driven Bookkeeper to manage the financial records of both business and trust accounts, ensure compliance with legal and regulatory requirements, and support the day-to-day running of the office. This role suits someone proactive, well organised, and confident in financial processes.

Responsibilities
  • Maintain accurate financial records for business and trust accounts.

  • Reconcile accounts and ensure compliance with financial regulations, including FICA.

  • Oversee and manage the day-to-day operations of the office.

  • Prepare and assist with audits.

  • Utilize Lexpro software for financial management and reporting.

  • Assist paralegals with file balancing and account reconciliation on the day of registration before payments are made.

Trust Account Procedures
  • Verify sufficient funds are available before processing payments from trust accounts.

  • Transfer funds between investment and main accounts as required.

  • Ensure trust creditor accounts have adequate balances for payments and reconcile discrepancies.

  • Maintain detailed records of all reversals and corrections, with explanations signed off by the Director.

Monthly Duties
  • Process interest on all open investment accounts.

  • Reconcile bank statements with Lexpro records for main and investment accounts.

  • Prepare journals and accounts for monthly sign-off by the Director.

  • Follow up on balances remaining in trust accounts from previous transfers and ensure proper allocation.

  • Generate and submit monthly reports for Director approval.

Weekly Duties
  • Follow up on debit balances and report to Directors.

  • Monitor investment account balances exceeding trust creditor balances and take corrective action.

  • Address old balances and provide updates to the Director.

  • Report any procedural discrepancies to the Director.

Qualifications
  • Proven experience as a Bookkeeper or in a similar financial role.

  • Proficiency in Lexpro software is essential.

  • Strong understanding of trust account procedures and financial regulations.

  • Exceptional attention to detail and organizational skills.

  • Ability to work independently and manage multiple tasks effectively.

  • Excellent communication and problem-solving skills.
