Overview
We are searching for a Divisional Office Manager to oversee the smooth and efficient day-to-day operations of our clients' divisional office. The ideal candidate will be responsible for a wide range of administrative support, organizational and management tasks, including managing supplies, coordinating schedules, and overseeing support staff in the absence of management. This role plays a crucial part in creating a positive and productive work environment.
Responsibilities
Implement and maintain office policies, procedures, and systems to ensure the efficient running of the division.
Manage, develop, and implement information and administrative systems.
Manage digital and paper filing systems, ensuring adherence to data protection laws.
Manage schedules and coordinate meetings, appointments, and travel arrangements.
Ensure supplies of stationery and equipment are maintained.
Oversee office maintenance, coordinating necessary repairs with external suppliers and contractors.
Prepare reports for management and compile presentations.
Ensure compliance with office health and safety policies and ensure they're followed.
Qualifications
Proven experience in office management or similar role.
Proficient in MS Office and office management software.
Excellent time management skills and ability to prioritize work.
Strong organizational and planning skills.
Excellent written and verbal communication skills.
High level of integrity and professionalism.
Day-to-day
General office administration/clerical duties.
Document compilation and distribution.
Appointments, traveling arrangements, and functions coordination.
Coordinate the flow of information, both internally and externally.
