Overview

We are seeking a highly organized and proactive Office Operations Administrator to join our client's dynamic team within the IT & Telecoms sector. This role is critical to ensuring the smooth functioning of office operations, supporting our innovative, inclusive, and fast-paced work environment. The ideal candidate is a detail-oriented, resourceful, and tech-savvy professional who is passionate about fostering efficiency and collaboration.

Responsibilities

Your main responsibilities will include, but are not limited to:

  • Overseeing daily office operations and serving as the point of contact for administrative matters.

  • Maintaining and improving office systems and processes to enhance efficiency.

  • Providing administrative support to IT and telecoms teams, including equipment tracking, scheduling, and documentation.

  • Managing vendor relationships and supplies inventory, ensuring optimal partnerships and resource availability.

  • Coordinating with HR to manage office onboarding and offboarding processes.

  • Ensuring compliance with health, safety, and company standards across the office environment.

  • Supporting the planning and execution of team events, meetings, and training sessions.

  • Assisting with budget management, including tracking expenses and preparing financial reports.

  • Supporting IT troubleshooting, coordinating with relevant technical teams to resolve issues promptly.

Qualifications

To succeed in this role, you’ll need:

  • A high school diploma or GED equivalent (Bachelor’s degree is a plus).

  • A minimum of 2 years of experience in office administration or operations, preferably within the IT & Telecoms sector.

  • Fluent in Mandarin (Essential)

  • Strong proficiency with office applications including Microsoft Office Suite, Google Workspace, and scheduling tools.

  • Familiarity with IT systems, workflows, and telecom industry basics is highly beneficial.

  • Excellent organizational skills with keen attention to detail.

  • Strong written and verbal communication abilities.

  • Ability to prioritize tasks effectively, multitask, and work under minimal supervision.

  • A proactive mindset, with an ability to anticipate needs and solve problems efficiently.
