Overview
We are searching for an organized and detail-oriented Assistant Shipping Controller/PA to join our client's dynamic team. The ideal candidate will have a strong background in imports/exports administration, finance, and project management, coupled with excellent secretarial skills. This role is integral to ensuring the smooth operation of our shipping processes and providing comprehensive support to the Sales Director.
Responsibilities
As an Assistant Shipping Controller/PA, your key responsibilities will include:
- Managing the receipt and oversight of all orders.
- Arranging and coordinating shipping logistics.
- Handling invoicing and shipment control.
- Managing incoming shipment paperwork (e.g., HFB, LFD).
- Addressing shipping queries and maintaining export documentation.
- Performing all aspects of PA duties for the Sales Director.
- Compiling data books, packing lists, and labels.
- Managing client portals and updating PDM systems.
- Preparing documents and manuals.
- Liaising with international clients, shipping agents, and the production department.
- Ensuring timely completion of orders and projects.
- Processing updates and amendments to export documentation.
- Maintaining and filing all export-related documents.
Qualifications
To be considered for this role, candidates must meet the following qualifications and competencies:
- Proven secretarial experience.
- Proficiency in computer applications, including Excel and Word.
- A minimum of 5 years’ experience in imports/exports administration and finance.
- Experience with Pastel/Sage software.
- Strong background in supply chain management.
- Demonstrated expertise in export/import processes.
- Project management skills.
