Overview

We are seeking a proactive Project Administrator to join our client's team. This role is integral to ensuring the successful delivery of projects by providing structured support to project managers, maintaining accurate documentation, and driving process improvements. The ideal candidate will have a strong attention to detail, excellent communication skills, and a passion for enhancing project efficiency and stakeholder engagement.

Responsibilities

As a Project Coordinator, your key responsibilities will include:

Project Delivery
  • Provide accurate, timely, and proactive support to project managers.

  • Maintain and update project logs and trackers on a weekly basis.

  • Identify and flag risks/issues, ensuring they are logged and updated regularly.

  • Assist project managers with scheduling and documentation tasks.

  • Participate in weekly project meetings to address and resolve blockers.

Stakeholder Engagement & Communication
  • Coordinate and document stakeholder meetings, ensuring timely follow-ups.

  • Track and update action items to enhance stakeholder visibility and responsiveness.

Finance Management
  • Support the management of programme budgets and costs, including monthly cost and projection reporting.

  • Track and validate vendor invoices, ensuring compliance and accuracy.

  • Maintain cost center allocation logs and reduce errors in cost center management.

  • Assist with SAP procurement entries and ensure accurate financial processing.

Governance
  • Ensure compliance with governance standards through consistent documentation.

  • Track and follow up on open audit items and support audit readiness checks.

  • Ensure the consistent use of templates and adherence to governance protocols.

Process Implementation and Continuous Improvement
  • Participate in monthly process review sessions and propose process improvements.

  • Support the adoption of new tools and processes, ensuring high compliance rates.

  • Actively engage in team syncs and steering committee meetings to align on priorities.

Qualifications

To be successful in this role, you should possess:

  • Proven experience in project coordination or a similar role.

  • Strong organizational and time management skills.

  • Excellent communication and stakeholder management abilities.

  • Proficiency in project management tools such as Jira and SAP.

  • A keen eye for detail and a commitment to accuracy.

  • Ability to work collaboratively in a fast-paced environment.

  • Familiarity with financial tracking and vendor coordination is a plus.
