Overview

We are looking for a talented and experienced Senior Conveyancing Secretary to become a key member of our client's team. This role plays a crucial part in facilitating seamless property transfers, mortgage bonds, and other conveyancing transactions. The ideal candidate will have in-depth knowledge of conveyancing processes, strong expertise in legal documentation, and excellent communication skills to engage confidently with attorneys, banks, clients, and municipalities. This position reports directly to the Senior Associate or Office Manager.

Responsibilities
Conveyancing Administration
  • Prepare and process conveyancing documents, including property transfers, bonds, cancellations, and sectional title developments.

  • Ensure compliance with all legal and regulatory requirements.

  • Draft, review, and format legal contracts and correspondence.

Liaison and Communication
  • Communicate with clients, attorneys, estate agents, banks, and municipalities to facilitate seamless property transactions.

  • Conduct timely follow-ups on outstanding documents and payments.

  • Provide regular updates to clients regarding the progress of their transactions.

Document Management and Filing
  • Manage and maintain filing systems for conveyancing matters.

  • Prepare deeds for lodgment and registration with the Deeds Office.

  • Verify the accuracy of all documentation before submission.

Financial Administration
  • Draft pro forma invoices and accounts for conveyancing transactions.

  • Handle deposits, guarantees, and payments related to property transactions.

  • Assist in managing trust account payments and reconciliations.

Compliance and Risk Management
  • Ensure adherence to relevant property laws, including the Deeds Registries Act and Sectional Titles Act.

  • Conduct property searches and verify ownership details.

  • Stay informed about changes in conveyancing regulations and procedures.

Qualifications
  • Matric (Grade 12) or equivalent qualification.

  • A diploma or certificate in Legal Studies, Paralegal Studies, or Conveyancing is advantageous.

  • Minimum of 5-10 years of experience in conveyancing, with a strong focus on property transactions.

  • Previous experience in a law firm or conveyancing department is required.

Skills and Competencies
  • Strong knowledge of conveyancing processes and legal documentation.

  • Excellent administrative and organizational skills.

  • Exceptional attention to detail and accuracy in document preparation.

  • Strong communication and interpersonal skills.

  • Ability to work under pressure and manage multiple transactions simultaneously.

  • Proficiency in conveyancing software (e.g., GhostConvey, Lexis Convey, or similar).

  • High level of confidentiality and professionalism in handling sensitive legal matters.

Day-to-Day
  • Drafting and processing legal documents for property transactions.

  • Liaising with clients, attorneys, and external stakeholders to ensure timely completion of transactions.

  • Managing financial aspects of conveyancing, including invoicing and trust account reconciliations.

  • Maintaining accurate and organized filing systems.

  • Staying updated on legal and regulatory changes in the conveyancing field.
